Creating and Managing Dashboards in Dropout Detective or Grade Guardian
Key Steps
1. Accessing Dashboard Settings 0:28
- Ensure you are logged in as an Access Manager Administrator.
- Click on your name in the top right corner to access settings.
- If settings are not visible, contact support at support.aspireedu.com.
2. Navigating to Dashboards 0:53
- In the settings, locate the tabs at the top.
- Click on the 'Dashboards' tab to manage existing dashboards or create new ones.
3. Creating a Dashboard Manually 1:10
- Scroll to the bottom of the dashboards page.
- Enter a name for the new dashboard in the 'Name' box (e.g., 'Marisa Rickel Advisees').
- Click the 'Edit' button to add students.

- Toggle to the 'Available' tab to view students.
- Add students by clicking the '+' sign next to their names.
- Use the search bar to find specific students if needed.

- Click 'Edit' to manage viewers for the dashboard.
- Toggle to the 'Available' tab to see potential viewers.
- Add viewers by clicking the '+' sign next to their names.

- Mark users as 'Allies' by checking the box next to their names.
- Allies receive alert notifications for students they are associated with.

- Ensure all students and viewers are added.
- Use the 'Clear' options to remove students if necessary.
- Delete the dashboard using the red 'X' if needed.

- Click the blue button for CSV options in the top right corner.
- Download 'Students' or 'Viewers' CSV files for backup.

- Prepare a CSV file with two columns: 'dashboard_name' and 'student_sis_id'.
- Choose the file to upload and select the appropriate 'Clear Existing' option.

- Choose the file to upload and select the appropriate 'Clear Existing' option.

- Access the upload history page to review past uploads.
- Check for success, failure, or missing entries.

- Contact your IT department to set up an API for automated dashboard management.
- Reach out to your business relationship manager for assistance.
Cautionary Notes
- Ensure you have the correct permissions as an Access Manager Administrator before creating or managing dashboards.
- Be cautious when using the 'Clear Existing' options, especially the 'All' option, as it will remove all students from all dashboards.
Tips for Efficiency
- Regularly back up your dashboard data using CSV files to prevent data loss.
- Use the search function to quickly find students or viewers when adding them to dashboards.
- Keep a consistent naming convention for dashboards to avoid confusion.
